My sales don't match my POS
When Maitaki's total for a day is different from your POS report, it's almost always one of these few things.
Also known as: doesn't match toast · numbers differ · discrepancy · reconcile · sales wrong · different total · clover report · z report different · numbers off · sales mismatch · end of day report
Maitaki brings in sales straight from your POS, so the numbers should agree. When they don’t, work through these checks in order. Most of the time it’s the first or second one.
1. Check you’re comparing the same day
A day in Maitaki runs from your Day ends at time to the next, in your location’s Timezone. If either is set differently from your POS, late sales land on a different day and both days look off.
- Open the account menu (your location and avatar, top right on a phone; bottom left on a computer) and tap Settings.
- Tap your location. The Name & business day row shows your timezone and when your day ends.
- Check they match how your POS counts a day. See Set your business day and timezone.
Each POS also has its own rule for which day a sale belongs to. Clover, for example, counts an order on the day it was first paid, and a refund on the day it was given. Orders paid in advance and checks left open can also move money between days. See Which day does a sale count on?
2. Check you’re comparing the same number
Maitaki’s Total sales on a day, and Net sales on the report, are after discounts and refunds, and before tax and tips. Many POS reports lead with gross sales, or with a total that includes tax and tips.
Compare like with like:
| In Maitaki | Compare with your POS’s |
|---|---|
| Net sales or Total sales | Net sales |
| Gross sales | Gross sales |
| Total collected | Total payments, or amount collected |
See Net sales vs total collected for every line in between.
3. Check your sales are up to date
If today’s number is lower than your POS, Maitaki may not have the latest sales yet.
- Open Sales. The Today so far card says when it was last updated. See How often your sales update.
- In Settings, a location whose sales source is paused shows paused with a grey dot. Paused sources don’t update. A Manager can tap the location, then Sales, and tap Resume.
- A red dot means the source couldn’t update. See Fix a sales source that isn’t syncing.
4. Look for sales that don’t count
Some things your POS lists never count toward a day in Maitaki:
- Declined card attempts. They’re listed at the bottom of the day under Not counted, greyed out.
- Voided, reversed or cancelled transactions. Open one and it says it does not count toward the day.
If your POS report includes these, the totals differ by those amounts. See Read a day’s sales.
5. Look for sales Maitaki adds
Maitaki can count sales your POS doesn’t have:
- Logged cash. With Manual Cash Logging on, cash you log counts in the day’s total, next to your POS numbers. See Log cash sales.
- Delivery-app orders that never reach your POS. When a platform like DoorDash is set to Adds to sales, its orders are added to each day. See DoorDash and Slice fees and payouts.
Still doesn’t match?

Common questions
My POS and my card terminal disagree.
If they’re separate systems, open the day and look at the Card check. See Check your POS against your card terminal.
I fixed my timezone. Will old days change?
Yes. Maitaki re-sorts your history under the new settings. Totals refresh in a minute or two.
My bank deposit doesn't match either.
That’s expected: card money arrives less fees. See Why a deposit is less than your sales.
