Why a deposit is less than your sales
A card deposit is your card money less fees and refunds. Cash, app orders and money paid on other days aren't in it.
Also known as: processing fees · merchant fees · short deposit · deposit doesn't match · deposit too low · missing money · interchange · card fees · deductions · bank amount wrong
A card deposit rarely equals a day’s sales. It holds only what guests paid by card, including tax and tips, less what your processor keeps. Everything paid another way reaches the bank separately, or not at all.
See what’s in a deposit
- On Deposits, tap a deposit under Coming, or tap a day under Arrived and then one of its deposits.
- The boxes across the top show the number of card payments (Txns), Gross, Tips and Net, the amount that lands.
- When the processor kept fees, a line under them says how much: Processor held $152.95 in fees on this batch.
In this example: $4,773.60 gross + $829.94 tips − $152.95 fees = $5,450.59 in the bank.
What makes a deposit differ from sales
| Reason | What happens |
|---|---|
| Processing fees | Your processor keeps its fees before paying you, so the deposit is lower than the card total. |
| Refunds | A card refund comes off the deposit of the day it was refunded, not the day of the sale. |
| Cash | Cash goes to the bank when someone takes it in. It’s never part of a card deposit. See Track cash deposits. |
| Ordering apps | DoorDash and other apps pay you on their own schedule, after their fees. See Track delivery-app payouts. |
| Paid in advance | With Toast, a card payment counts in the deposit of the day it was taken. A catering order paid ahead is in that day’s deposit, and missing from the deposit of the day it’s for. The deposit says so under its amount. See Which day does a sale count on? |
| Clover and Loyverse estimates | Maitaki shows each day’s gross card sales, before fees, because Clover and Loyverse don’t share their deposits. Your bank gets that amount less your fees. |
Compare the right numbers
Your Net sales leave out tax and tips. A card deposit includes both. So a card deposit can be higher than the card part of your net sales, even after fees. To compare, use Total collected split by Card, on the Report tab. See Net sales vs total collected.
Common questions
How do I see my fees for a whole month?
Maitaki shows the fees held on each deposit. For a monthly total, check the statement from your card processor.
One week's deposits are much lower than usual.
Look for refunds or a chargeback around those days, and for a deposit that hasn’t landed yet. Your card deposits show each one’s expected day.
My POS and card terminal show different card totals.
That’s a separate check, before any deposit. See Check your POS against your card terminal.
