Check your POS against your card terminal

When your POS and card terminal are separate, the Card check matches every card receipt to its charge and explains every cent of difference.

Checked against the app November 5, 2026

If your POS and your card machine are two separate systems, like Loyverse with a Valor terminal, every card sale is recorded twice: once as a receipt in the POS and once as a charge on the terminal. The Card check compares the two for each day and puts every cent of difference on a line with its reason.

Toast and Clover don’t have a Card check. They take their own card payments, so there’s nothing separate to compare against.

Find the Card check

  1. Open Sales from your Dashboard (see Find your sales), then tap the Sales tab.
  2. Tap a day. The mark next to its name tells you how it went: ✓ they agree, ⚠ they don’t.
  3. The Card check sits under Sources.

On the Report tab, a strip shows how many two-source days matched in the range, like ✓ 28 of 30 two-source days matched. Tap it to list the days that didn’t.

The top right says how the day went:

You’ll seeWhat it means
Matches to the centEvery card receipt has its charge. Nothing to do.
ExplainedThere’s a difference, and Maitaki found the reason for all of it. Worth a look, but no money is missing.
Unexplained and an amountSome of the difference has no match on the other side. Look at the red cards.

Below that, two columns compare your POS and your terminal: Sales, Refunds, Card total and the Difference. Tips are shown too, but kept out of the check.

Tap sales matched on both sides to list the pairs that agree. What’s left sits under Only in POS and Only on terminal. Amber cards are explained; red ones aren’t. Tap any card to open the receipt or charge. At the bottom, Explained and Unexplained add up to the difference.

What each line means

no card charge found (red)

The POS has a card receipt, but the terminal has no charge for it. The card may not have been run, or it was run on another terminal that isn’t connected. Check the terminal’s batch for that time.

no POS receipt found (red)

The terminal took a card payment that isn’t on any POS receipt. Often a sale was charged on the terminal but never rung up. Ring it up in the POS so it’s in your item sales.

POS card refund, no card refund found (red)

A refund was rung in the POS as card, but no money went back on the terminal. Check whether the guest was refunded another way.

in the day total, not in any row (red)

The day’s total holds an amount that isn’t on any single receipt or charge. If it’s there most days, email us.

charged $X, receipt says $Y (amber)

The receipt and the charge found each other, but the amounts differ. Usually the wrong amount was keyed into the terminal.

possible duplicate of #… (amber)

Two receipts look like the same sale, but only one card charge came through. The sale was probably rung up twice. Void the extra receipt in your POS.

rung as cash on #… or rung as another payment type (amber)

The terminal charged a card, but the receipt was closed as cash or another payment type. Fix the payment type in your POS so your card and cash totals are right.

refund of #…, on the terminal only (amber)

Money went back on the terminal, matched to a sale, but the refund wasn’t rung in the POS.

tips the POS added to card receipts (amber)

The POS added tips on top of receipts that were already matched to a charge.

paid in advance (amber)

The card was charged on a different day from the order. It’s explained on both days.

Common questions

Declined cards show under the check. Do they count?

No. Declined attempts on the terminal are listed, crossed out, so you can see them. They never count toward sales or the check.

I have more than one terminal.

The check covers all of them. At the bottom, By terminal shows each one’s card total, and By card splits it by card brand.
