Net sales vs total collected

What you sold, and the money that came in, are two different numbers. Here's every line between them.

Checked against the app November 5, 2026

Maitaki shows two main numbers for any day or range. Net sales is what you sold. Total collected is the money that came in. Labor % and food cost % are always worked out from net sales.

The two numbers

These are the app’s own definitions, from the Net vs collected button on the report’s Share of sales card:

TermWhat it means
Net salesWhat you sold: after discounts and refunds, before tax and tips. Labor % and food cost % are of this number.
TaxSales tax your guests paid on top. It belongs to the state, not to you.
TipsTips and gratuity (service charges) guests added. They belong to your staff.
Total collectedThe money that came in: Net sales + Tax + Tips, less refunds. Card is what the card processor took before fees; cash is what went into the drawer.

So, for most days: Net sales + Tax + Tips = Total collected.

Every line on the summary

The summary on the Report tab goes from top to bottom like this. Lines only appear when they’re not zero.

LineWhat it is
Gross salesSales before discounts and refunds.
DiscountsDiscounts and comps taken off.
RefundsSales given back.
Net salesGross sales less discounts and refunds.
Gift cards soldMoney in for gift cards bought. It isn’t a sale yet; it becomes net sales when the card is spent.
Tax or Estimated taxSales tax. “Estimated” means Maitaki took it out of amounts that had tax inside. See How estimated tax works.
TipsTips guests added. Tips refunded shows any given back.
GratuityService charges, kept apart from tips.
Paid in advanceMoney taken in this range for an order on a later day, like a catering deposit.
Paid earlierOrders in this range’s net sales that were paid on an earlier day.
Total collectedThe money that came in.

Under it, the Card and Cash boxes split what was collected, and two chips show the number of transactions and the avg ticket (net sales divided by transactions, so tax and tips aren’t in it).

Clover counts gift cards differently. With Clover, gift cards are part of net sales, shown as incl. gift cards under it, the same way Clover’s own report does it.

The report summary, from Gross sales down to Net sales and Total collected

See it per source

On the report’s Share of sales card, every source gets its own row: each payment type, each ordering app, and logged cash. Each row reads Net sales + Tax + Tips = Total collected. On a phone, swipe the table left to see the tax, tips and collected columns.

A row called Not paid yet means a check counts in net sales but hasn’t been paid. Tap See to list the open checks. See Which day does a sale count on?

Common questions

Why is total collected more than my net sales?

Because it includes tax and tips, which aren’t your sales. That money belongs to the state and your staff.

Why doesn't my bank deposit match total collected?

Card money arrives less processing fees, and cash goes in separately. See Why a deposit is less than your sales.

Which number does my labor % use?

Net sales. Tax and tips are left out, because they aren’t money you earned from sales.
