Approve or discard what Chat suggests
Nothing changes until someone taps Approve.
Also known as: suggestion · proposal · approve card · confirm · accept · reject · decline · ai changes · undo · cancel suggestion
Chat can help you make changes, like fixing an invoice line, adding an ingredient or drafting a recipe. It never makes them on its own. It shows a card with exactly what it would do, and nothing is saved until someone taps the button to approve it.
Read the card
A suggestion card has an amber band at the top that starts Proposed, followed by what kind of change it is, for example Proposed — new ingredient or Proposed — fix a line on an invoice. Below it you’ll see the details: the line’s old value crossed out next to the new one, a recipe’s ingredients and estimated cost, or a menu’s dishes and prices.
Some cards explain the reason. A line fix, for example, ends with Why: and Maitaki’s reasoning. Check it before you approve.
Approve or discard it
- Read the card.
- To make the change, tap the main button. Its label says what it does (see below).
- To drop it, tap Discard or Dismiss.
Once someone decides, the card shrinks to one line ending approved or discarded. When the change created something, like a recipe or vendor, tap View › to open it.
| Card | Button that saves it |
|---|---|
| New ingredient | Approve |
| Fix a line on an invoice | Approve fix |
| Pack info for a line | Approve pack info |
| New vendor | Create vendor (you can correct the name first) |
| New recipe | Approve & save, or Edit first to save it and open it for changes |
| New menu | Create menu |
| Add a recipe to a menu | Add to menu |
| Pack sizes from an order guide | Review & approve, which opens every line to check |
| Invoices ready to verify | Apply & Verify |
| Days for the cash log | Add with the number of days, for example Add 3 days |
| Sorting rule | Add rule, or Edit to adjust it first |
Approving a recipe can add ingredients. If a line in a drafted recipe isn’t in your Library yet, the card says so, and approving creates it. It prices itself from future invoices.
Who can approve
Members, Managers, Admins and Owners can approve or discard a card. Viewers see Your role is view-only — ask a member or manager to approve this. in place of the buttons. A sorting rule needs a Manager or above. See Roles: who can do what.
Because chats are shared at the location, anyone there can act on a card, not only the person who asked. A card can only be decided once.
Common questions
The card says "already handled". What happened?
The same work was done somewhere else in the app first. For example, the invoices on a verify card were verified or archived from Purchases. There was nothing left for the card to do.
I approved cash log days by mistake.
Tap Undo on the card within 10 minutes. Only the person who approved it sees the button. After that, change the days in the cash log. See Log cash sales.
The button says "Approve the vendor first".
The pack sizes belong to a vendor that’s also waiting on a card. Approve the vendor card above it, then this one.
Can I change a suggestion before approving it?
On some cards, yes: correct a new vendor’s name, or open Review & approve on pack sizes. For anything else, tell Maitaki what to change in the chat and it makes a new card.
