Credit memos and returns
How credits show, and entering a negative total.
Also known as: credit · refund · return · negative invoice · credit note · rebate · money back · returned goods · minus total · cr memo
When a vendor gives you money back, for a return, a damaged case or a pricing mistake, they usually send a credit memo. Send it to Maitaki the same way as an invoice. Maitaki spots that it’s a credit, and its negative total lowers your spend.
How a credit memo shows
- In Purchases → Invoices, it has a Credit tag next to the vendor, and its total is negative, like -$44.60.
- On the memo itself, the status reads Credit memo · needs review until it’s verified, then Credit memo · Verified.
- Its lines are usually marked Credit rather than linked to ingredients.
Review and verify it like any invoice. See Review and verify an invoice.
If the memo has no printed total, Maitaki uses the sum of its credit lines as the total.
Enter a negative total
If the total was read as a positive number, or not read at all, fix it by hand:
- Open the credit memo and tap Edit.
- Under Total, type the amount with a minus sign, like -44.60. Or type 44.60 and tap ± to make it negative.
- Tap Save.
Writing it in brackets, like (44.60), works too.
Credits on a regular invoice
Sometimes a vendor takes a credit off your next invoice instead of sending a memo. It shows as a line with a Credit tag and a negative amount, and it’s taken off the invoice’s line total like any other line.
Returns
Maitaki doesn’t track returns separately. A return shows up when the vendor’s credit arrives, either as a credit memo or as a credit line on an invoice.
Common questions
Does a credit change my ingredient prices?
No. Credit lines aren’t linked to ingredients, so the price you pay per pound or per case stays as it was. The credit lowers your spend for the memo’s date.
Is the credit memo linked to the invoice it's for?
No. Maitaki keeps the credit memo as its own document, dated the day it was issued. It lowers your spend on that date, not on the date of the original invoice.
