Check if payroll is ready
The pay period review, and what to fix first.
Also known as: pay period review · payroll check · before payroll · audit hours · timecard audit · wages check · payrun · labour · timesheet review
Before you run payroll, ask Chat for a pay period review. Maitaki checks every shift in the period and tells you what to fix first, what’s worth a look, and what it already checked and found fine. It only reads your timesheet; it doesn’t change anything.
Ask for the review
- Tap Chat at the bottom of the screen.
- Ask Is payroll ready? You can also say “pay period review” or “anything to fix before payroll?”
Maitaki reviews the last pay period that has ended. For the period still open, ask for “this period”. For other dates, name them: “review Oct 16–31”. A review covers one pay period, up to 63 days.
Maitaki works out the period from your payroll period setting. If it isn’t set up, give the dates in your question, or set it up first. See Set your payroll period.
Read the summary card
The first card, marked Pay period review, shows the period and its status at the top:
| You’ll see | What it means |
|---|---|
| Looks ready for payroll | Nothing to fix or check. |
| 2 to fix · 3 to check before payroll | Work through the second card before you run payroll. |
Under it:
- Total pay, Hours with overtime (OT), and Labor as a share of net sales for the period.
- Hourly, Salary and Bonus lines, so you can see where the total comes from.
- A check that the people add up to the same total as Labor › Timesheet.
- People: each person’s hours and pay, with a red or amber dot if something about them needs fixing or checking. Tap Show all to see everyone, and tap a person to see their shifts.
- Open Timesheet, which opens the Timesheet on the same period so you can make fixes.
Work through the alerts
The second card, Alerts & notes, has these sections:
| Section | What’s in it |
|---|---|
| To fix before payroll | Problems that would make pay wrong, each with the evidence and what to do (after the →). Open by default. |
| Worth a look | Things that look unusual but may be fine. Tap each to see why it was flagged. |
| Checked and looks right | Things Maitaki looked into and found fine, so you don’t have to. |
| Changes this period | Edits to shifts and pay during the period, and who made them. Tap a shift change to see its history. |
Shifts that the time clock closed itself at close of day are grouped into one line, such as 4 auto clock-outs at close · tap to review. Check each one: the person may have left earlier.
Each shift is checked against that person’s own last 12 weeks, the team’s clock-outs, the day’s sales and any edits. Lines marked AI are Maitaki’s notes; the numbers always come from your timesheet.
Fix, then ask again. After you correct a shift in the Timesheet, ask Chat to “re-check”. The review runs fresh on the updated shifts.
To make the fixes, see Fix a missed clock-in or clock-out and Review timesheet flags.
In Telegram
Managers can ask the Maitaki bot “is payroll ready?” in a private chat, or in a group set to Managers — financials. The bot posts the review as two images with a link to the Timesheet. See Use the Maitaki bot.
Common questions
It says "Pay period reviews are for managers."
The review shows everyone’s pay, so it needs a Manager role or above at the location. In Telegram, it also needs a private chat or a group set to Managers — financials.
Why does it say "OT at 1X rate"?
The overtime premium is turned off for this location, so overtime hours are paid at the normal rate. See Turn the overtime premium on or off.
Does the review change any shifts?
No. It only reads the timesheet. You make any fixes yourself in the Timesheet.
